Why Lot Traceability in Fulfillment Matters for Food and Supplement Brands

Most brands don’t think about recall readiness until they’re staring down a recall. By then, the question of whether their fulfillment partner maintained lot-level records isn’t academic — it determines whether they can respond effectively or whether they’re flying blind.

Lot traceability in fulfillment means your 3PL knows which lot number of your product went into which specific orders on which specific dates. Not just “we shipped 500 units in March.” Which orders. Which customers. Which lot.

Why This Matters

Under FSMA, food brands are required to maintain traceability records that allow them to trace product forward from production to the end customer. For dietary supplement brands, 21 CFR Part 111 has similar recordkeeping requirements. The practical version is simple: if FDA calls you and says there’s a problem with a specific lot of your product, you need to know within hours which customers received units from that lot.

If your 3PL doesn’t track at the lot level — if they just track by SKU — you can’t answer those questions. Your entire inventory of that SKU is suspect, not just the affected lot. Your recall scope is much larger than it needs to be. Your costs are higher. Your exposure is greater.

What Lot-Level Fulfillment Looks Like

When product arrives at our facility, it comes in with a lot code on every case. We receive it into inventory by lot, not just by SKU. When we pick an order, we pick from a specific lot and record which lot went into which order.

If you need to trace a lot, we can tell you: every order that shipped from that lot, the date it shipped, the customer who received it, and how many units remain in inventory. That trace happens in hours, not days.

The Mock Recall Test

For supplement brands, you should be conducting a mock recall at least annually. Pick a lot number from several months ago. Can you account for 100% of that lot — how many units were produced, how many shipped, to which customers, how many remain in inventory — within four hours? If your fulfillment partner doesn’t maintain lot-level records, the answer is no. That’s a problem that surfaces at the worst possible time.

The question to ask your 3PL right now

“Do you track inventory at the lot level? Can you pull a report showing which orders were fulfilled from a specific lot, and how quickly can you generate it?” If they can’t answer confidently, you have a gap to address.

At North Lakes, lot traceability runs from your supplier’s COA all the way to your customer’s doorstep. Every batch production record ties every ingredient lot to every finished unit. Every outbound order is logged against the lot it was picked from. It’s not a premium feature — it’s how we operate. — Ole
